Temporary Wages Administrator (Fixed Term Contract - 12 -14 Months Maternity Cover)

Salary £ 15,249 (Part-Time Equivalent)

An exciting opportunity has arisen for a temporary part-time Wages Administrator to join the HR Department on a fixed term contract to cover maternity leave.

Based at Hooton Street, Carlton Road, Nottingham, the Wages Administrator is responsible for delivering a high quality, professional service to three sites.

 

Acting as the first point of contact for all Wages related queries, the role will be responsible for the timely processing and coordination of all pay related administrative activity for submission to the Payroll Department at the Parent company in Scotland.

About the Role

As Super user and System Administrator you will oversee the Time and Attendance System for the Hourly Paid employees, Salaried staff and management, and Agency Workers across the Barrowcliffes sites.

You will be responsible for: -

  • Ensuring all exceptions are closed-out in the Time and Attendance System and hours reports are generated accurately and in a timely manner in accordance with the payroll and Agency submission deadlines.
  • The fortnightly and monthly transactional payroll template files are compiled and submitted in line with the payrolling timetable for use by the Kettle Payroll Department.
  • Ensuring all starters and leavers are processed correctly, all information is available, any monies owed are recovered and P45’s are collected and issued.
  • Inputting and checking sickness data to ensure that all employees are paid the correct amount of SSP where relevant and forwarding relevant paperwork once SSP has ended.
  • Maintaining Average Holiday Pay Calculations and inputting and checking holiday data each pay cycle to ensure that all employees are paid the correct amount of holiday pay.
  • Updating the appropriate templates with contractual or personal information changes, SMP/SPP/ShPP/SAP/SSP/OSP, Monthly Overtime Claims, court orders and other deductions ensuring compliance with legislation and company policy. Identifying, investigating, and resolving any pay related discrepancies.
  • Responding to all payroll queries from managers or employees in a timely manner and providing resolutions.
  • Produce and circulate accurate weekly hours reports for hourly paid and salaried employees in line with timescales requested by the business and Finance Department.

About you

You must be trustworthy, open, and honest and possess a friendly and helpful “can do” attitude. You must also be able to deal with confidential information and maintain confidentiality at all times.

You must have strong communication and interpersonal skills be able to use appropriate language and tone in both verbal and written situations and demonstrate excellent listening skills.

You will have a high level of accuracy and attention to detail in addition to excellent numerical and IT Skills. You must be competent in working in Microsoft Excel, with pre-set templates, formulas and data exports from the time and Attendance System.

You must be very flexible with working days as payroll cycles may change due to public holidays and bank processing changes.

Skills and Qualifications you have

Previous experience in an administrative and/or Wages Department would be advantageous

  • Excellent Verbal and Written communication skills
  • Excellent customer service skills, ability to deal with people tactfully and professionally.
  • Excellent personal organisation skills, well organised and able to multi-task and manage many disruptions.
  • Ability to work under pressure and to demanding deadlines.
  • An impeccable attention to detail Strong problem-solving skills.
  • Computer Literate, knowledge of Microsoft Office including Excel, Outlook and databases and have excellent keyboard skills.

Normal working hours would typically be 9.00 am to 4.00pm with 30 minutes lunch break (Can be flexible with start and finish times)
