Personal Assistant to Contact Centre Director and team admin

The Role
To assist the Contact Centre Director in the daily maintenance of their diary and provide team support to circa 600 staff to ensure that their day-to-day administrative tasks are complete. A proactive approach and the ability to prioritise is vital to this role.
Key Accountabilities & Responsibilities:

- Comprehensive diary and email management for Contact Centre Director
- Support diary management for other assistant`s in their absence
- Set up, co-ordinate & control various meetings, invites and prepare materials
- Ensure ECF meetings are scheduled, materials prepared and help with meeting set up
- Lead the compilation of monthly comms to the function
- Support in presentation (ppt) creation and editing of monthly functional reviews
- Pre-empt / organise lunch requests for team meetings and various meetings
- Organise events / meetings; seasonal events, venue & service bookings along with travel, car rentals & hotel bookings
- Organise Star Awards and recognition activity
- Maintain email distribution groups/org charts
- Ad hoc requests for the Contact Centre team
- Authorise and ensure holidays are up to date
- Complete and sign off expenses

The Person
Knowledge, Skills, Experience:

- Fully proficient knowledge/experience of MS Office (Outlook, PPT, Excel & Word)
- Excellent communication skills with a ‘can do` attitude
- Recording of actions/notes in large meeting environments where the topics discussed may vary greatly
- Ability to work in large, often changing teams & develop business level relationships with internal and external customers
- Well organised & systematic approach to daily tasks
- Flexible approach
- Comfortable dealing with senior stakeholders, both internal and external
- Absolute discretion required, often dealing with confidential information
