The Role

To assist the CIO in the daily maintenance of their diary and to ensure that their day-to-day administrative tasks are complete. To support the Senior Leadership team and the wider IS department with their day to day tasks. A proactive approach and the ability to prioritise is vital to this role. Primarily Ashford based frequent trips to London.
Key Accountabilities & Responsibilities:

- Comprehensive diary management for 1 Board member and 4 Directors.
- Support diary management for other assistants in their absence
- Set up, co-ordinate & control various meetings and invites
- Organise events / meetings; seasonal events, venue & service bookings along with travel, car rentals & hotel bookings
- Pre-empt / organise lunch requests for team meetings and various meetings for the CIO and team
- Order Stationery / computer equipment for department / new starters through Support
- Authorise and ensure holidays are up to date
- Complete and sign off expenses
- Ad hoc requests for the Senior Leadership team and the wider IS Department
- E-mail management for the CIO

The Person
Knowledge, Skills, Experience:

- Fully proficient knowledge/experience of MS Office ( Outlook, PPT, Excel , Word )
- Excellent communication skills with a ‘can do` attitude
- Recording of actions/notes in large meeting environments where the topics discussed may vary greatly
- Ability to work in large, often changing teams & develop business level relationships with internal and external customers
- Well organised & systematic approach to daily tasks
- Flexible approach
- Comfortable dealing with senior stakeholders, both internal and external
- Absolute discretion required, often dealing with confidential information
